Rental Applications Form

               Every prospect tenant and landlord face the need to get a better understanding of each other. To the prospect tenant, it is mainly about the characteristics of the property, ranging from location, price to its qualities. For the landlord, it is mainly about ensuring that the tenant is trustworthy. To facilitate that process, it is common for prospect tenants to fill out a rental application form.

How to use the Rental Application Form

               There are currently two available formats: Rental Application Form in Excel and Rental Application Form in Word. Both forms provide the applicant with the space necessary to allow the landlord to gain the background insight needed to make a decision.

Word Document

               Fill out the word document version of the rental application form as needed, print the file and sign before delivering it to the landlord. It is also possible to print a blank copy and handwrite accordingly. Some landlords may be comfortable in receiving a digital copy. Be sure to confirm if that is the case.

Excel Version

               Rental application form in excel works similarly to the word document version. It aims to provide the users with the simplicity needed. This segment will cover the different areas of the form:

  • Property – Address of the rental property.
  • Application Date – Date in which the application is to be delivered or has been filled. Format example [Jan 1, 2022]

Personal

  • Applicant Full Name – Full name (First, Middle, Last) of the applicant according to their government documents.
  • SSN/SIN – Social Security Number of Social Insurance Number as provided by a government entity.
  • Preferred Name – Name of the applicant as he/she prefers to be addressed.
  • Driver’s license – Number on the official driver’s license document provided by the relevant authority. Leave it blank or with ‘N/A’ if there isn’t one.
  • Birth Date – Applicant’s date of birth. Format example [Jan 1, 1990].
  • Home Phone – Telephone number used to contact the applicant if necessary. Format is usually as follows: [+Country Calling Code (Area Code) Telephone Number]. E.g. +1 (999) 999-9999.
  • E-mail – Electronic mail used as a secondary form of communication.
  • Current Address – Current address of residence for the applicant.
  • Zip Code – Postal code of the current address used by the applicant.

Co-Applicant

  • Co-Applicant – A secondary individual expected to have a stake in the rental. Some landlords may prefer to have each applicant filling out a form of their own. In said case, please be sure to delete this segment from the form.
  • SSN/SIN – Social Security Number of Social Insurance Number as provided by a government entity.
  • Preferred Name – Name of the co-applicant as he/she prefers to be addressed.
  • Driver’s License – Number on the official driver’s license document provided by the relevant authority. Leave it blank or with ‘N/A’ if there isn’t one.

Additional Occupants

               Name, age and relationship of any additional occupants associated with the applicant. Age and relationship include a drop-down list.

Miscellaneous

               Multiple drop-down lists covering questions such as whether the applicant owns pets, the type of pet, number of pets and whether the applicant or occupants’ smoke. Not every landlord or building allows pets or smoking.

Income Source

               Provides context on information pertaining to profession, employer, income (preferably monthly), supervisor, telephone number of company/supervisor and one’s start date. It also provides space in case the applicant has a secondary profession or the co-applicant holds has a profession. Other sources of income can also be added to supplement the application.

Emergency Contact

               Relevant contact information that the landlord may need in case of an emergency.

Personal Reference

               Contact information on two personal references that can vouch for the applicant.

Signatures

               Space available for the applicant and co-applicant to sign and provide the date of signature.
