               Vehicle mileage is often cited as a valuable indicator for automobile wear and tear. It is also used by businesses to track reimbursements and expense related tax reliefs (Canada – CRA, US – IRS, UK – HMRC). Other’s value managing how their vehicles are being utilized. To help with that, the mileage log template is now available for download.

How to use - Mileage Log

               At the top, the mileage log template provides users with the space to write their name, year of the log, vehicle details (e.g. vehicle registration plate, brand) and an automated total vehicle logged mileage. Once that is completed, it then becomes time to fill out the table as needed. The table consists of date, class, purpose, odometer start, odometer end and miles/km for each entry. An explanation for each column can be found below:

  • Date – The date that a mileage log occurred in short form (e.g., Jan 1, 2021).
  • Class – A drop-down button that allows the user to choose between business and personal use. It is possible to manually add new entries as needed.
  • Purpose – Reason to use the vehicle and log it on the mileage log template.
  • Odometer
    • Start – The number shown in the odometer before the drive began.
    • End – Number available on the odometer once the drive has been completed.
  • Miles/km – Auto populated number of miles run per entry based on the end odometer number minus the start odometer. It is possible to change the header between Miles and KM according to one’s unit of measurement.

               The solution contains 32 lines of entries, helping to cover a few weeks to a month for heavy travelers and up to a year for light travelers. It is very easy to add new entry lines at the bottom by simply clicking on the last cell within the table and pressing ‘TAB’. The basic version fits everything within a single page, helping to keep it simple and concise.

               Notes – Space is provided at the bottom portion of the mileage log to give users an area to cover any outstanding matters that have arisen from the time that the car was driven.
